Solution 01 · HR & Workforce Systems

One system for hiring, time, pay and people records

A workforce system that takes a person from application to payslip on one record — so schedules, timesheets, leave and approvals stop living in separate spreadsheets and a manager’s inbox.

  • HR management
  • Payroll
  • Recruiting & onboarding
  • Time & attendance

The problem it solves

When every people process has its own spreadsheet

Most growing teams run hiring in one tool, shifts in a spreadsheet, leave requests in email and payroll inputs in another file that someone rebuilds every pay period. Each handoff is a chance for a missed approval, a wrong hours figure or an employee record that is out of date by the time anyone checks it.

A workforce system puts those steps on a single employee record. Managers approve in one place, staff see their own details, and payroll receives hours that have already been checked rather than reconstructed.

Who uses it

  • HR lead

Manages job openings, onboarding checklists, employee records and policies, and sees where each new hire is in the process.

  • Team manager

Builds schedules, approves timesheets and leave requests, and sees who is in, who is off and where coverage is short.

  • Employee

Clocks in, checks shifts, requests time off and updates personal details from a phone without emailing anyone.

  • Payroll administrator

Receives approved hours, leave and adjustments for each period, reviews exceptions and exports the run to payroll processing.

  • 01

    Accounts & roles

Separate permissions for HR, managers, payroll and staff, so salary and personal details are only seen by the right people.

  • 02

    Admin console

Where HR sets up departments, pay rules, leave policies, onboarding checklists and approval chains without asking a developer.

  • 03

    Customer portal

A self-service space where employees view payslips, documents, leave balances and their own record.

  • 04

    Mobile app

Clock-in, shift views and leave requests on a phone, for staff who never sit at a desk.

  • 05

    Notifications

Reminders for pending approvals, expiring documents, upcoming shifts and onboarding tasks that are running late.

  • 06

    Dashboards & reports

Headcount, overtime, absence and time-to-hire on one dashboard, filtered by team, site or period.

  • 07

How it works

From application to payslip

  1. 01

    Candidate applies

An application lands in the hiring pipeline, where interviewers leave scores and the hiring manager moves it to an offer.

  2. 02

    Onboarding starts

The accepted offer creates an employee record and a checklist of documents, equipment and training for the first weeks.

  3. 03

    Shifts and hours

The employee is scheduled, clocks in from a phone or kiosk, and hours collect against the right team and pay rule.

  4. 04

    Manager approves

Timesheets, overtime and leave requests go to the right manager, with exceptions flagged before the pay period closes.

  5. 05

    Payroll receives

Approved hours and adjustments are exported to payroll processing, and the employee sees the payslip in their portal.

  1. Phase 1

    Launch

Employee records, roles, leave requests and manager approvals, plus time and attendance for the teams that need it first, with approved hours exported to payroll as a file.

  2. Phase 2

    Expand

A recruiting pipeline, onboarding checklists, shift scheduling and a mobile app for staff, with a direct connection to payroll processing and accounting so hours never need re-keying.

  3. Phase 3

    Scale

Multiple sites or legal entities, more detailed pay rules, performance reviews and workforce dashboards that leadership uses to plan headcount, overtime and coverage across the year.

FAQ

Questions about workforce systems

Something else? Ask us directly.

  1. It can, but most builds stop short of that. The system collects approved hours, leave and adjustments and passes them to the payroll processing you already use, which handles tax calculations and filings. That keeps the specialist work with a specialist tool, while the checks that cause most payroll errors happen earlier, inside your own system.
