Overview

Getting HR systems right

An HR system holds the most sensitive data a business keeps: pay, bank details, performance notes, medical leave. So design starts with who should see what. Beyond access, HR systems succeed when they reflect your actual policies — how leave accrues, how overtime is calculated, which manager approves which request — and apply them the same way every time. Much HR frustration comes from rules applied differently by different people, and a well-configured system removes that inconsistency.

The main decision is how payroll is handled. Many businesses keep a dedicated payroll provider such as Gusto, ADP or Paychex for tax filing and payments, and connect it to an HR system that manages records, time and leave. Others want one platform that does both. A custom HRMS makes sense when your workforce model is unusual — rotating shifts, several pay rules, contractors alongside employees — and packaged tools force awkward workarounds.

Good looks like employees finding answers themselves, managers approving requests from their phones, and payroll running from hours and balances nobody needs to recheck. Every change leaves a trace, so questions about who edited a pay rate or approved a leave request have clear answers. And the data model can grow as headcount, locations and policies change, without starting again.

Who it’s for

Built for teams like yours

  • 01

    Shift-based workforces

Restaurants, retailers, care providers and service businesses with hourly staff on rotating schedules, where accurate time capture, overtime rules and shift swaps feed straight into each pay run.

  • 02

    Growing office teams

Companies passing the headcount where HR can no longer be run from folders and email, and who need structured onboarding, leave tracking and employee records with proper access controls.

  • 03

    Distributed and field staff

Businesses with people across several sites or out in the field, who need mobile clock-in, location-aware timesheets and self-service that works without a desk or company laptop.

Why it matters

People operations, finally organized

Employee files in folders, leave requests by email and timesheets in spreadsheets make HR slow and error-prone. We build HR and payroll systems that keep every record, request and approval in one place.

Employees get self-service access, managers approve requests in a single click, and payroll runs from accurate, up-to-date data every pay period.

In practice

What teams use it for

  • New hire onboarding

An accepted offer triggers a checklist automatically: documents to sign, equipment to order, accounts to create and training to schedule, with HR and the hiring manager seeing progress until the new employee is fully set up.

  • From timesheet to payroll

Clock-ins and approved timesheets calculate regular hours, overtime and shift differentials, then pass to the payroll provider in the format it expects, removing manual totals and cutting down on late corrections.

  • Leave and absence management

Accrual rules per policy, requests submitted from a phone, manager approval in one tap and team calendars showing who is out, with balances kept current for employees and HR alike.

  • Offboarding and access removal

A departure triggers final pay steps, equipment returns, exit paperwork and a list of system accounts to disable, so nothing is missed and the employee record is retained according to your policy.

Process

How we work

  1. 1

    Policy inventory

We collect your handbook, leave policies, pay rules, approval chains and existing forms, then turn each one into an explicit rule. Gaps and inconsistencies surface here, and HR decides how they should be handled going forward.

  2. 2

    Access design

We define roles for employees, managers, HR and payroll, and specify exactly which fields and documents each can view or edit. Sensitive data such as pay and bank details gets the tightest controls and full change logging.

  3. 3

    Configure and build

Employee records, leave types, schedules, time capture and onboarding workflows are configured or developed in a test environment. HR walks through realistic scenarios — a new starter, a sick day, an overtime week — before anything goes live.

  4. 4

    Records migration

Employee profiles, documents and current leave balances are imported from spreadsheets or the old system. We reconcile balances with HR line by line, because a wrong leave figure on day one quickly damages employee trust.

  5. 5

    Parallel pay run

Before switching over, we run at least one pay period in parallel and compare results with your current process. Differences are investigated and resolved with your accountant or payroll provider before the new system takes over.
