Solution 13 · Client Portals & Self-Service Systems
A secure space where clients serve themselves
A client portal where customers sign in to upload documents, track requests, view status, pay invoices and message your team — while staff manage it all from one console instead of chasing attachments across inboxes.
- Secure client login
- Document exchange
- Request tracking
- Online invoice payment
The problem it solves
When every status update needs an email
Firms that serve clients over weeks or months often run the relationship through email. Documents arrive as attachments in different versions, clients call to ask where things stand, invoices are sent as PDFs and paid late, and sensitive files travel through channels nobody chose for them. Staff spend hours each week answering questions the records could answer.
A client portal gives each client one signed-in place to see status, exchange documents, pay and ask questions, with access limited to their own matters and every action logged for your team to review.
Who uses it
Client
Signs in to upload requested documents, check progress, sign forms, pay invoices and message the team handling their work.
Account manager
Sees each client’s open requests and missing documents, posts updates and replies from a shared view of the relationship.
Operations lead
Sets up portal templates by service type, controls who sees what, and reviews activity logs and overdue items.
Finance team
Issues invoices to the portal, tracks payment status and sends reminders without separate emails or manual statements.
The blueprint
Building blocks in this system
- 01
Accounts & roles
Client accounts with multi-person access, staff roles and permissions, so each client sees only their own matters and files.
- 02
Customer portal
The client-facing dashboard showing status, open tasks, documents, invoices and next steps for each engagement or case.
- 03
Messaging & chat
Secure conversations tied to a specific request or matter, so questions and answers stay with the work they concern.
- 04
Content & media
Help articles, FAQs, forms and onboarding guides clients can read and complete without waiting for a reply.
- 05
Payments
Invoices and statements clients can pay online, with card details handled by the payment processor, not your servers.
- 06
Notifications
Email or text alerts when a document is requested, a status changes, a message arrives or an invoice falls due.
- 07
Admin console
A staff console for creating requests, reviewing uploads, managing client access and templates, with an audit trail of portal activity.
- 08
Integrations & API
Links to practice management, accounting, document storage, e-signature and single sign-on, so portal data matches your records.

How it works
From client request to completed work
- 01
Client onboarded
A new client receives an invitation, sets up secure access and completes intake forms and document uploads in one place.
- 02
Work is tracked
Each request or engagement shows its stage, owner and outstanding items, updated by staff as the work progresses.
- 03
Documents exchanged
Clients upload what is asked for, staff review and accept or return files, and every version is kept.
- 04
Questions answered
Messages sit on the relevant matter, and help articles cover common questions before a client needs to write in.
- 05
Invoiced and closed
An invoice is posted to the portal and paid online, and the completed work stays available for the client to revisit.

FAQ
Questions about portals systems
Something else? Ask us directly.
Usually, yes. Most practice management, accounting and document storage tools offer an API, so the portal can read status, invoices and files from them rather than duplicating data. Where a system has no API, we look at scheduled imports or a lighter workflow. We confirm what each connection can do during scoping, before the build starts.
